This Privacy Policy explains how we collect, use, store and protect personal information when you visit the Maximillion Digital website, contact us, register for an event or course, subscribe to communications, use one of our digital tools, complete an assessment or diagnostic, or otherwise interact with us.
We aim to process personal information responsibly and in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) and other applicable South African laws.

For the purposes of this Privacy Policy, Maximillion Digital is the responsible party for personal information collected through this website and through Maximillion Digital services, unless we specifically tell you otherwise.

Where we provide technology or services on behalf of one of our clients, we may instead act as an operator processing information according to that client’s instructions.
2. What information we may collect
The information we collect depends on how you interact with us.
It may include:

- information submitted through enquiry or registration forms;
- event, webinar, workshop or course registrations;
- newsletter and marketing preferences;
- information you provide when purchasing or enquiring about a service or product;
- responses submitted through assessments, questionnaires, readiness tools or diagnostic tools;
- workflow, process or business information you choose to provide;
- communications between you and Maximillion Digital;
- website usage, device and browser information;
- approximate location derived from technical information;
- referral information and campaign information, such as UTM parameters;
- cookie identifiers and analytics information; and
- any other information you voluntarily provide to us.
We try to collect only the information reasonably necessary for the purpose for which it is being requested. Data minimisation is also reflected in guidance from South Africa’s Information Regulator.
3. AI readiness, diagnostic and assessment tools
Maximillion Digital provides or may provide digital tools designed to help businesses understand areas such as:
- AI readiness;
- workflow readiness;
- digital maturity;
- automation opportunities;
- process bottlenecks;
- AI adoption opportunities;
- business or team capability;
- productivity opportunities;
- workflow diagnostics;
- implementation priorities; and
- other business assessments.
When you use these tools, we may collect the answers and business information you submit in order to calculate, generate or present your result, diagnostic, recommendation, report or suggested next steps.
Please do not submit unnecessary confidential information
Unless a tool specifically requests it, you should not enter passwords, banking information, identity numbers, confidential client information, medical information, special personal information, trade secrets or other highly sensitive information into our assessments, diagnostics or AI tools.
Where possible, describe the business problem without identifying individual customers, employees or other third parties.
4. How AI may be used
Some Maximillion Digital tools and services may use artificial intelligence, automation, APIs or third-party technology platforms to analyse information, structure responses, generate recommendations or assist us in delivering a service.
This may include AI being used to:
- analyse assessment responses;
- identify patterns or areas for improvement;
- generate summaries;
- assist with workflow diagnostics;
- provide recommendations;
- categorise information;
- create reports;
- assist with content or document processing; or
- support digital products and services.
Where an AI-enabled tool is being used, information you submit may therefore be processed by technology providers that support that service.
AI-generated assessments and recommendations are intended to support human decision-making. They should not automatically be treated as professional, legal, financial, medical, employment or other specialist advice.
We encourage users and businesses to apply appropriate human judgement before acting on an AI-generated recommendation.
5. How we use personal information
We may process personal information to:
- respond to enquiries;
- provide requested services;
- register you for webinars, events, courses or workshops;
- send event confirmations, joining information and reminders;
- provide assessments, diagnostic results or reports;
- operate AI-enabled tools and digital products;
- deliver training and educational resources;

- communicate with customers and prospective customers;
- manage our business relationship with you;
- improve our website, tools, courses and services;
- understand how people use our website;
- measure campaign and event performance;
- maintain security and prevent abuse;
- comply with legal and regulatory requirements; and

We will not intentionally use personal information for an unrelated purpose without an appropriate lawful basis.
6. Webinar, event and course registrations
When you register for a Maximillion Digital webinar, workshop, course or event, we may collect information such as your name, work email address, company and other information reasonably required to manage the event.
We use this information to:
- reserve your place;
- send confirmation messages;
- provide calendar invitations;
- provide joining links;
- send event reminders;
- communicate changes to the event;
- provide resources associated with the session; and
- manage attendance.
Registering for an event does not automatically mean that you have agreed to receive unrelated marketing communications unless you separately opt in or another lawful basis applies.
That distinction is particularly important for the webinar funnel we’ve just built.
7. Email and marketing communications
Where you have subscribed to a newsletter or agreed to receive marketing communications, we may send you information about Maximillion Digital services, events, resources, courses, AI tools and relevant business content.
You can unsubscribe at any time using the unsubscribe option contained in the communication or by contacting us.
Transactional communications, such as event confirmations, account messages, requested reports and service notifications, are different from marketing communications and may still be sent where necessary to provide something you requested.
8. Cookies, analytics and campaign tracking
Our website may use cookies and similar technologies to operate the site, understand website usage and measure marketing activity.
These technologies may help us understand information such as:

- how visitors arrived at the website;
- which campaigns or social posts generated visits;

We may also use campaign parameters, including UTM parameters, to understand whether a visitor arrived through LinkedIn, Facebook, Instagram, email or another campaign.
Where legally required, non-essential cookies or tracking technologies will be subject to appropriate consent choices.

We aim to use reputable providers and limit the information shared with them to what is reasonably required for the relevant service.
10. International processing and cloud services
Some of the technology services used by Maximillion Digital may operate or store information outside South Africa.
This can include cloud hosting, analytics, email, automation and AI service providers.
Where personal information is transferred internationally, we will take reasonable steps to ensure that the transfer is handled in accordance with applicable data protection requirements.
POPIA specifically requires transparency where a responsible party intends transferring personal information to another country or international organisation, and South African regulatory guidance highlights the importance of assessing the recipient jurisdiction and contractual/data-protection safeguards used by cloud providers.
11. Sharing personal information
We do not sell personal information.
We may disclose personal information where reasonably necessary to:
- service providers supporting our business;
- technology and hosting providers;
- professional advisers;
- event or delivery partners where necessary;
- authorised employees or contractors;
- regulators, government authorities or law-enforcement bodies where legally required; or
- another party where you have specifically authorised us to do so.
Where we run a co-hosted event, such as an event with another organisation, we will tell you where registration information is intended to be shared with or jointly used by that organisation.
That last sentence is important for your Maximillion Digital + The Fifth Chair webinar. If Adelaide/The Fifth Chair will actually receive the attendee list or use it afterwards, I recommend saying that explicitly on the webinar form rather than hiding it in this policy.
12. How long we keep information
We keep personal information only for as long as reasonably necessary for:
- the purpose for which it was collected;
- providing our services;
- maintaining appropriate business records;
- resolving disputes;
- meeting legal, tax or regulatory requirements; or
- another lawful business purpose.
When information is no longer reasonably required, we may delete, destroy or anonymise it.
13. Security
We take reasonable technical and organisational steps to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.
Measures may include appropriate access controls, authentication, secure hosting, backups, software updates and restrictions on who can access information.
However, no internet-based system can guarantee absolute security.
If we become aware of a security compromise involving personal information, we will respond in accordance with applicable legal requirements.
The Information Regulator provides a formal mechanism for organisations to report personal-information security compromises.
14. Your rights
Subject to applicable law, you may have the right to:
- ask whether we hold personal information about you;
- request access to your personal information;
- request correction of inaccurate or outdated information;
- request deletion or destruction where appropriate;
- object to certain processing;
- withdraw consent where processing is based on consent;
- object to direct marketing; and
- lodge a complaint with the Information Regulator.
POPIA specifically recognises rights relating to access, rectification, objection and complaints to the Information Regulator.

15. Information about other people
If you provide us with personal information about another person, you should make sure that you are authorised to provide that information.
This is particularly important when using our workflow, AI, readiness or diagnostic tools.
Please avoid uploading customer lists, employee information, confidential correspondence or identifiable third-party information unless doing so is necessary, appropriate and authorised.
16. Children’s information
Our business website, AI tools and professional services are primarily intended for adults and organisations.
We do not intentionally collect personal information from children through our general business tools unless a particular service is specifically designed and lawfully configured for that purpose.
If you believe a child has provided personal information to us inappropriately, please contact us.
17. Automated recommendations and human judgement
Some assessments or AI-enabled tools may automatically generate scores, classifications, recommendations or suggested actions based on the information provided.
These outputs are designed as decision-support tools.
Where an outcome could materially affect a person, employee, customer or business, we recommend that the result is reviewed by an appropriately authorised human before a decision is made.
This fits the philosophy you’re already building into the webinar and your wider AI products: AI can enhance and support work, but it does not remove accountability from the human making the decision.

We are not responsible for the privacy practices of websites or services that we do not control. You should review their privacy information before providing personal information.
